Whatfix is an enterprise digital adoption platform. It runs in web apps, in desktop applications on Windows and Mac, in native mobile apps and in virtual desktop environments; it has its own product analytics; and it sells a simulation product, Mirror, that captures your application and turns it into training you can export to an LMS. It is bought by large organisations rolling out enterprise software to their own staff, and it is priced accordingly.

HelpHero does one job: product tours, checklists and hotspots in a web application, built by anyone on your team, priced on how many people see them. Whatfix has comfortably more in it, so the useful question is whether you need all of it, and whether you want to book a demo to find out what it costs.

Whatfix sells separate plans for web and desktop apps, for native mobile apps, and for the Windows and Mac operating systems themselves, and its web and desktop plans list offline mode and virtual desktop support for Citrix and Azure Virtual Desktop. HelpHero works in web apps, including mobile and tablet browsers, and nowhere else. If the software you are trying to get people through is SAP or Oracle on a locked-down desktop, HelpHero cannot close that gap.

Mirror captures your application screen by screen and turns it into a sandboxed practice environment with quizzes, deployable as a web link or exported as a SCORM module for your LMS. Whatfix also exports guidance as videos, slide decks, articles and PDFs. That is a learning and development toolkit as much as a product one, and HelpHero offers nothing like it.

Every button on its pricing page is Get a Demo or Talk to Sales, and even the free trial is a form asking for your phone number and company size. HelpHero puts every tier on its pricing page, so you can work out your bill in about a minute and decide whether it is worth a conversation.

The verdict
Whatfix is the broader product by a distance. Whether that breadth is worth paying for depends on whether your users are outside the browser.

02Pricing

You cannot compare what is not published

Every other comparison on this site puts two numbers side by side. This one cannot, because Whatfix does not publish pricing; it is quoted on request. Its pricing page lists Standard, Premium and Enterprise plans for web and desktop apps, plans for mobile, for the operating system, for Mirror and for Product Analytics, and not one of them carries a figure. Every button is Get a Demo or Talk to Sales.

What Whatfix does publish is the structure. Pricing for each product and plan is a flat fee plus user licence fees, and it defines a licence differently depending on who uses the application: for employee-facing apps a licence is the total number of users with access, whether or not they log in, and for customer-facing apps it is monthly active users. That is worth understanding before your first call, because the first definition prices an internal rollout on headcount rather than usage.

The verdict
HelpHero publishes what it charges and what a plan includes. With Whatfix, both answers start with a call. That may be fine for an enterprise rollout; it is a lot of friction for a team that wants tours next month.

Common questions

How much does Whatfix cost?

Whatfix does not publish pricing; it is quoted on request. There is no price on its pricing page for any plan of any of its products, and every call to action there is a demo request or a call with sales. What Whatfix does publish is the shape of the bill: pricing for each product and plan is a flat fee, plus user licence fees, with the flat fee depending on the product and plan.

How does Whatfix count users?

By its own definition, it depends on who uses the application. For employee-facing applications used internally, a user licence equals the total number of users with access to that application, whether or not they ever open it. For customer-facing applications used by customers or partners, a user licence equals monthly active users. HelpHero charges on monthly active users in both cases.

Does Whatfix have a free trial?

Whatfix says yes in its own FAQ, but there is no self-serve signup. The trial page is a form asking for your email, first and last name, phone number, company and company size, and no trial length is published. HelpHero gives you a 14 day free trial with no credit card and no call.

What does Whatfix's Standard plan leave out?

Going by Whatfix's own plan comparison for web and desktop apps: content aggregation is capped at 2,000 articles rather than unlimited, integrations are limited to 2, translation is manual rather than automatic, and surveys are out-of-the-box only, with custom surveys on Premium. What does Whatfix do better than HelpHero?

Reach, mostly. Whatfix covers desktop applications on Windows and Mac, native mobile apps, and virtual desktop environments, none of which HelpHero touches. It also has Mirror for software simulations and SCORM training modules, a product analytics suite with funnels, user journeys and cohorts, self-hosted deployment with data residency, and a named customer success manager on every plan. If you are rolling an enterprise system out to thousands of employees, that is a different class of product.

Is HelpHero a real alternative to Whatfix?

It depends what you are buying for. If the job is onboarding users in a web application, meaning tours, checklists, hotspots, targeting and the analytics to see whether any of it worked, then yes, and at a price you can read off a page. If the job is an enterprise-wide adoption programme spanning desktop software, mobile apps and formal training, HelpHero is not that tool.
